Public Information Office

Newspaper
The Public Information Office serves as the communication link between the district and the families whose children attend our schools.  The staff issues regular press releases to local media about district events, designs special publications and calendars, schedules Blackboard Connect calls to remind parents of key district activities, maintains the content on the district website and sends regular newsletters to employees and the community through its listeservs.  The staff also helps to coordinate crisis communication during inclement weather or school safety situations.

Our Publications

Here is a list of our core publications for the Chapel Hill-Carrboro City Schools:

How to Submit Items for Publication

Staff members with information they would like to publicize regarding student or personal accomplishments may submit details (who, what, when, where, why and how) electronically to Assistant to the Superintendent for Community Relations Stephanie Knott at sknott@chccs.k12.nc.us

High quality digital photos may be attached to the email message.  Please send these as attached .jpg, .png or .gif files rather than as photos embedded in the message itself.

You can also submit items for publication by using our online form.

Information submitted to the Community Relations Office may be used on the district's website or in other district publications.

Telephone Communications (Automated Calls)

Blackboard-Connect is the district's automated telephone calling and emailing system. Both the district and the schools use Blackboard-Connect to send out community event reminders, important parent and staff messages, attendance notifications, and emergency communications.

If you are receiving calls or emails from our district, yet you don't have any children enrolled, you can request to have your number removed from our automated calling system by submitting this form.

A Note About Printed Publications

CHCCS strives to be both cost-conscious and environmentally-friendly when deciding to produce publications for parents and our larger community.

First, all publications, with the exception of the Parent Calendar, are available on the district's website.  While these publications are available electronically, we also are aware that a digital divide persists in our community.  Hard copies of publications are produced when it is especially critical that these families receive important information.

Each publication produced by CHCCS is printed following a bid process in which local printers submit their best price for each printing job.  The downturn in the economy has made these bids much lower than they have been in the past.  Technology also is reducing the cost of printing.  New digital presses create four-color publications at a fraction of what they used to cost.  Low printing costs are sometimes achieved through larger press runs.  Because the same effort is needed to produce 10,000 copies of a publication as 5,000, it is generally not much more expensive  to have 10,000 copies  produced instead of 5,000.

When we can find an alternative to printing documents for every family in the district, we do so.  Last year, we eliminated the printing of the district's Parent Handbook.  Instead of receiving a hard copy of the 28-page booklet, parents received a one-page "supplement" on brightly colored paper.  The supplement contained school-specific information and directed parents to visit the homepage to view the entire handbook.  Families without internet access could return a form at the bottom of the supplement to have a hard copy sent home with their children.  This practice will continue again in 2010-2011.  In the case of the district's annual report, we reduced the number of hard copies printed last year and will produce the current year's document only as a pdf on the website.
